Director of Predoctoral Clinic Operations

Chief Purpose of the Position

The Director of Predoctoral Clinic Operations responsibilities will include supervision of the Predoctoral Patient Registration Services Team. The position will oversee a team of an estimated fifteen and have three to four direct reports. The role serves as a primary partner to solidify uniformity for all School of Dentistry and VCU Dental Care regulations and policies, development, implementation of programs, and the flow of daily operations. The Director of Predoctoral Clinic Operations will monitor the formally organized sequence of activities implemented to assess dental care delivery quality in the school's patient care areas. The work scope includes overseeing all student clinics that have approximately 340 treating student providers, utilizing 168 clinical dental chairs across three buildings. Each year the predoctoral clinic accepts approximately 4,000 new patients, resulting in an active patient pool of approximately 10,000 patients and yielding 40,000 patient visits per year. The predoctoral clinics serve as private dental practice simulators by creating a practice environment that will teach students many of the fundamentals necessary to operate and work in their dental practice after graduation. As part of clinic operations, this position will have effective interaction with diverse constituencies. This position will report to the Senior Associate Dean of Clinical Education. It will frequently interact with Graduate Clinic Managers, the Chief Information Technology and Business Solutions Officer, and other leaders within the dental profession and the School of Dentistry. This position will also often interact with various department chairs and course directors. The VCU School of Dentistry clinics' mission is to provide quality oral health care and educate students in a patient-centered, student-friendly, caring, and ethical environment based on the concept of mutual respect. This position is instrumental within the VCU School of Dentistry in achieving that goal.

  • This position functions as the main point of contact for the Senior Associate Dean of Clinical Education for all student clinic related matters
  • Is responsible for the Standard Operating Manual for the Patient & Student Registration Services Team
  • Oversight of all aspects of the Pre Doc Clinic Operations workflows outside of the clinic space, including Patient Advocacy Services, scheduling, chart review and audit, student requirements, patient registration, collections, and compliance.
  • Provides leadership and strategic vision for the Patient Registration Services Team
  • Fosters a working relationship with Predoctoral Clinic Group Leaders
  • Ensures all Pre Doc Clinics are functioning as optimally as possible during normal business hours
  • Ensures that all team members have appropriate training and development plan
  • Manages the components of the QA program
  • Manages all aspects of the TeleMed outsourced patient phone service
  • Maintains and fosters multiple vendor relations
  • Manages school-wide Volatia Interpreter Service and billing

Knowledge, skills and abilities required

  • Minimum of 5 years’ experience in hospital/dental administration
  • In depth knowledge of healthcare regulations, medical and dental terminology
  • Experience working in a hospital, community health, or large clinical setting due to pace, high volume of patients and size of organization
  • Working experience using axiUm, Cerner, EPIC, Eaglesoft, Dentrix and/or IDX preferred
  • Superior interpersonal communication skills with a problem solving attitude
  • Excellent customer service skills, both written and oral
  • Ability to both manage and lead team efficiently and effectively
  • Strong critical thinking skills; ability to make decisions with sound judgment
  • Organizational and time management skills

Education level and experience required:

  • Bachelor's Degree or equivalent experience in Health Administration or related field required
  • Master's Degree in Health Administration preferred or equivalent training and experience
  • Experience within an academic clinical setting
  • Previous supervisory experience in a healthcare setting along with expertise using an electronic health/medical record system preferred
